PCI-Aligned Cloud Desktop Platform for Remote Fundraising Organisation
How CriticalMatrix delivered a hardened, cloud-native virtual desktop environment enabling secure donor interactions at scale while maintaining a fully remote workforce model.
Key Results
- 100% workforce on secure cloud desktops
- PCI DSS–aligned environment
- Zero endpoint variability
- Improved donor call reliability
The Challenge
Situation
A fast-growing, fully remote fundraising services organisation supporting charitable campaigns across North America faced increasing pressure to demonstrate a secure, auditable technical environment. With over 100 professional fundraisers conducting millions of donor interactions annually, the organisation needed to align with PCI DSS requirements without compromising its remote-first operating model.
Operational Constraints
- Fully remote workforce across multiple regions
- High-volume donor call operations requiring audio reliability
- PCI DSS alignment expectations from charitable partners
- Limited internal IT capacity for infrastructure management
What Was Breaking
Fundraisers operated on unmanaged personal endpoints with inconsistent configurations and no centralised security controls. Partner organisations were asking difficult questions about data protection and access boundaries that could not be answered with confidence. Audio quality issues on donor calls were causing operational disruption and impacting campaign effectiveness.
Before & After Comparison
Before CriticalMatrix
Unmanaged personal devices
No controls or documentation
Frequent audio and latency issues
No centralised endpoint management
After CriticalMatrix
Golden image across all desktops
Audit-ready controls established
Optimised audio and microphone performance
Centralised monitoring and control
The Solution
Phase 1: Architecture & Design (Weeks 1-3)
CriticalMatrix designed a production-grade AWS WorkSpaces implementation with a newly architected VPC, private subnets, NAT-controlled egress, and per-service connectivity. The architecture eliminated reliance on unmanaged endpoints while supporting the remote-first model.
Phase 2: Golden Image & Deployment (Weeks 4-8)
Created a standardised Windows WorkSpaces golden image optimised for browser-driven CRM and telephony workflows. Disabled local storage, USB access, clipboard sharing, and printing. Tuned audio and microphone performance for reliable donor call quality.
Phase 3: Governance & Operationalisation (Weeks 9-12)
Established Group Policy–managed configurations, automated scaling, and operational monitoring. Documented PCI-aligned controls and created runbooks for ongoing management by internal teams.
Tools & Technologies
Amazon WorkSpaces
Cloud-native virtual desktop infrastructure with managed persistence, hardened configurations, and centralised control.
AWS VPC & Security Groups
Network segmentation with private subnets, NAT gateways, and per-service connectivity ensuring controlled egress.
Microsoft Defender for Endpoint
Endpoint detection and response across all cloud desktops with centralised telemetry and automated threat remediation.
"CriticalMatrix gave us a secure, auditable platform that our partners trust and our fundraisers actually enjoy using. The transition was seamless."
